This article helps clients using the Client App understand how to manage and approve contractor timesheets efficiently. Whether you are tracking the work of remote teams or reviewing contractor hours for payment, timesheets are a crucial part of maintaining accurate billing and payroll.
Step-by-Step Instructions
Here’s how you can effectively use the timesheet feature in the Client App:
1. Log Into the Client App

Open the Client App by logging into the web-based version.

Enter your credentials (username and password) to access your client account.
2. Navigate to the Timesheet Section

From the main dashboard, locate the Timesheet tab. It’s located in the side bar.

Tap or click on Timesheets to go to the timesheet management page.

You can also view contractor’s timesheets from the profile by navigating to Team from the side bar.

Now choose the desired Contractor from the list

You will find Timesheet in the profile options
3. Review Contractor Timesheets

In the Timesheet section, you’ll see a list of all the timesheets submitted by contractors.

Each entry will typically include:

Contractor Name: The name of the contractor who submitted the timesheet.

Date: The date(s) for which the time was logged (Start and End date).

Total Hours Worked: The number of hours worked as reported by the contractor.

4. Approve or Reject Timesheet Entries

As a client, you have the ability to approve or reject timesheets submitted by contractors.

To approve: Review the details of each timesheet entry. If everything looks accurate, click or tap Approve. This action confirms that the hours worked are correct and can be processed for payment.

To reject: If you notice discrepancies (e.g., incorrect hours, missing information, or inaccurate task descriptions), you can reject the entry.
5. Proceeding Payment for the Contractor

Once you’ve reviewed and approved all timesheets, You may want to proceed to pay contractor.

Navigate to Pay Contractor from the side bar to pay the contractor based on the approved timesheet

Once you reach payments list choose the desired payment and you will find the timesheet attached to the contractor payment alongside the payment automatically created in the list.
Note: the status of the timesheet will reflect the status of the payment and will be updated accordingly based on the payment status.
6. Upload CSV File for Monthly Timesheets
If you need to upload multiple contractor hours for the month in bulk, you can take advantage of the CSV upload feature. This allows you to upload aggregated monthly hours for your contractors.
Here’s how to upload a CSV for monthly timesheets:

Select the month for the timesheet. In the Timesheet section, you’ll see an option to choose the month you’re working with.

Upload the CSV file: Select the Upload CSV option. Any CSV template is acceptable, but make sure it contains the necessary data.
The CSV file must include the following columns:

Email: The contractor's registered email address.

Total Hours Worked: The total hours worked by the contractor for the given month.
Once the CSV is uploaded, the system will automatically process the hours and update the timesheets accordingly. The uploaded data will reflect in the Timesheet section, and you can continue to review, approve, and process payments based on these bulk uploads.
Troubleshooting Tips
Q: I can’t see the timesheets for my contractors.
A: Ensure that you are logged into the correct client account and that you have the appropriate permissions to view timesheet data. If the issue persists, try refreshing the app or web page.
Q: I see an error when trying to approve or reject a timesheet.
A: Double-check that all fields are properly filled out. If the timesheet contains missing or incomplete information, it may prevent you from approving it. Contact the contractor for clarification or reject the timesheet for revision.
Q: Why do some timesheets have missing data or incorrect hours?
A: Sometimes, contractors may forget to log hours or make errors in their entries. If you notice discrepancies, reach out to the contractor to clarify the issue. Rejected timesheets can be revised and resubmitted.
