Getting Started with Worker Type Transitions
As a client, you can now seamlessly convert your contractors into full-time employees without losing their information or going through lengthy re-onboarding processes.
When to Use This Feature
Use the Worker Type Transition when:
- You want to hire a previous contractor as an employee
- You need to maintain data continuity between roles
- You want to avoid duplicate profiles and email addresses
- You need to preserve employment history for compliance
Step-by-Step Transition Process
Step 1: Prepare for Transition
Before starting the conversion:
- Complete all pending contractor payments
- Ensure no active schedules remain
- Deactivate the contractor profile completely (in case the contractor is still active when you launch the transition process, the platform will ask you to deactivate the contractor first)
Step 2: Initiate the Transition
- Navigate to the deactivated contractor's profile
- Look for the "Convert to employee" button
- Click the button to start the conversion process
Important Note: Active Contractor Profiles
If you click "Convert to employee" on an active contractor, you'll see a helpful modal explaining:
- The contractor must be deactivated first
- How to handle unpaid schedules
- Steps to complete before conversion
Step 3: Review and Confirm
A detailed modal will appear showing:
- That onboarding will be required but with pre-filled data
- How to track the onboarding process of the employee
- Warning about the irreversible nature of this action
Understanding the Results
What Happens to the Contractor Profile
- Becomes permanently read-only
- Maintains all historical data
- Cannot be reactivated or edited
- Serves as permanent employment record
What Gets Created
- New employee profile with same email address
- Pre-filled personal and job information
- Fresh employee onboarding workflow
- Clear link to original contractor profile
Managing the New Employee
Adding Employee Process
When adding the transitioned employee to your team:
- You'll see a clear indicator this person was previously a contractor
- All standard employee setup options are available
- Department and manager information transfers automatically
Important Limitations and Considerations
No Reversal Option
Once a contractor is converted to an employee:
- The process cannot be undone
- You cannot convert the employee back to contractor
Data Restrictions
- You cannot edit original contractor profile after transition
- The employee profile is completely separate for editing purposes
- All historical contractor data remains protected for compliance and auditing purposes
Email and Account Management
- The employee uses the same email address
- The login credentials remain the same (no new password setup required)
Best Practices
Before Conversion
- Review all contractor information for accuracy
- Complete all financial obligations
- Communicate with the contractor about the transition
After Conversion
- Monitor employee onboarding completion
- Verify all transferred information
- Update internal records and systems
