We are introducing an automated sync between timesheet submissions on the RemoFirst platform and our local payroll systems. This change removes manual steps from the processing workflow, reduces the risk of errors, and improves the overall reliability of payroll runs for hourly employees.
The change is largely backend. The day-to-day experience for clients and employees remains the same โ timesheets are submitted and approved as before. One aspect of the change does affect the client and employee experience: how late timesheet submissions are handled.
What changes: late timesheet handling
Previously, timesheets submitted or approved after the payroll cut-off could still be processed manually in the current cycle. Under the new automated system, timesheets that are not submitted and approved by the cut-off date will automatically roll into the next payroll cycle. The employee will receive a notification confirming the revised payment date.
Key change:ย Late timesheets now result in payment being deferred to the next cycle automatically, with no manual intervention. The employee will be notified of the revised pay date. On-time submission and approval is the only way to guarantee same-cycle payment.
How the payroll cycle works
Each payroll cycle has three key dates clients need to be aware of:

Both steps must be completed by the cut-off:ย the employee must submit and the client must approve. If either step is missed, payment moves to the next cycle. A submitted-but-unapproved timesheet is treated the same as a late submission.
Employee notifications
When a timesheet misses the cut-off, the employee will automatically receive a notification informing them that their payment will be processed in the next payroll cycle and providing the expected pay date. Clients do not need to communicate this separately โ the notification is sent automatically.
However, clients should be aware that employees may reach out about the delay. Being familiar with the cut-off dates for each cycle will help clients respond accurately.
