Managing U.S.-based independent contractors through RemoFirst is a streamlined, self-service process. This guide explains the onboarding journey and the client’s responsibilities for managing the engagement and contractor payments.
The Onboarding Workflow
The contractor onboarding flow is designed to be simple and efficient. The process moves through two main phases:
Client Setup
- Add Contractor Details: Navigate to People > Add new hire. Enter the contractor's legal name, email address, job title, and work scope.
- Set Compensation: Define commercial terms including the rate type (monthly, daily, hourly, or milestone), rate amount, contract currency, and payment frequency.
- Provide Agreement: Create a compliant digital contract using RemoFirst's contract tool or upload an existing signed agreement.
- Invite Contractor: Send an invitation for the contractor to e-sign the agreement and complete their portal profile.
Contractor Onboarding
The contractor must complete the applicable onboarding requirements, which may include:
- Agreement signature: Review and sign the contractor agreement.
- Identity verification: Complete the required identity-verification process.
- Tax information: Complete the tax form presented through the platform. Contractors classified as U.S. persons for U.S. federal tax purposes may be required to complete Form W-9.
Withdrawal method: Add the required bank or payout details. The account holder’s name should match the contractor’s verified identity information.
The contractor becomes Active only after all required onboarding steps have been completed.
Your Responsibilities
To support a smooth engagement and timely contractor payments, clients are responsible for:
- Providing accurate information: Enter the correct scope of work, engagement terms, compensation, and payment details.
- Monitoring onboarding: Review the contractor’s status and follow up on any incomplete requirements.
- Reviewing work and payment items: Review and approve applicable timesheets, milestones, expenses, and additional payment requests.
- Generating and funding invoices: Select approved payments, generate the invoice, and fund it using the current payment instructions and reference displayed in the platform.
- Reviewing classification: Confirm that the relationship remains appropriate for an independent contractor arrangement. Review the classification if the scope or working model changes, and seek independent legal or tax advice when needed.
- Managing changes: Update RemoFirst when the contractor’s compensation, scope, agreement, or engagement status changes.
Contractor payouts are processed after the applicable invoice has been funded, and the payment has been successfully reconciled.
