The contractor time-off feature supports scheduling, visibility, and communication. It allows contractors to notify clients about planned periods of unavailability and enables clients to review those requests.
For contractors, this feature does not create an employee leave entitlement or provide employee-style accrual and carryover benefits.

It does not automatically create paid time off or adjust the contractor’s payment or invoice. Any payment changes must be managed separately according to the contractor agreement.
Reviewing a Request
When a contractor submits a time-off request, you will receive a notification to review it.
Before approving or rejecting the request, check:
- The requested dates.
- The total duration.
- The selected time-off reason.
- Whether the request affects project deadlines or scheduled work.
- Whether any payment adjustments are required under the contractor agreement.
If the request is acceptable, approve it through the platform. If you reject it, provide the contractor with a clear and timely explanation.
Add a request on behalf of a contractor
As a client, you also have the option to initiate a time-off request for a contractor. This process allows you to manage scheduling proactively while ensuring the contractor’s approval.
To complete this process:
- Go to People > Time off > Add.
- Select the applicable contractor.
- Choose the time-off type:
- Vacation.
- Sick leave.
- Unpaid leave.
- Add a short description, if needed.
- Select a date range.
- Attach supporting documentation only when it is necessary and appropriate.
- Choose whether contractor confirmation is required. If confirmation is not required, the request will be approved automatically.
- Review the information and save the request.
Public holidays
Public holidays may be displayed in the time-off calendar based on the contractor’s registered country or work location. They provide scheduling visibility and help clients identify possible availability conflicts.
A public holiday displayed in RemoFirst does not automatically mean that the contractor is entitled to paid leave or that their payment will be adjusted. The treatment of public holidays should follow the contractor agreement and the arrangement agreed between the client and contractor.
Time-off balance
Contractor profiles do not use the same statutory leave-accrual and carryover rules as employee profiles. Any time-off balance displayed for a contractor should be used as a scheduling reference and should not be treated as confirmation of a legal or contractual paid-leave entitlement.
When reviewing a contractor’s availability:
- Check the contractor’s submitted and approved requests.
- Review the applicable contractor agreement.
- Confirm whether the absence affects compensation.
- Manage any required payment adjustment separately.
Do not rely on the displayed balance alone when determining whether time off should be paid or unpaid.
Contractor classification considerations
Time-off requests should be managed consistently with the independent contractor relationship and the applicable agreement.
Avoid presenting the feature as an employee PTO policy or statutory leave entitlement unless this has been reviewed and documented appropriately. Classification requirements vary by country, so seek independent legal or tax advice when necessary.
