Contractor payment entries may be generated automatically, created manually as pay-as-you-go payments, or created following the approval of timesheets, milestones, or additional payments.
These payment entries appear under Payments > Pay Contractor. From there, you can review the details, select the approved entries, and generate an invoice.
Understand your invoices
When an invoice is generated, you may see two related documents:
- Contractor sub-invoice: Generated on behalf of the contractor and linked to the agreed payment for their work.
- Client aggregated invoice: Issued to your company and shows the amount you must fund. It may consolidate multiple contractor payments, approved expenses, and applicable service or payment-provider charges.
The documents may contain related amounts, but they serve different accounting purposes and are not duplicates.
Review payments before generating an invoice
Tour overview - Invoice GenerationBefore generating an invoice, go to Payments > Pay Contractor and confirm:
- The contractor’s name.
- The payment period.
- The payment type.
- The amount and currency.
- Any approved timesheet, milestone, or additional payment.
- Any relevant description or supporting information.
Select only the payment entries that are accurate and ready to be invoiced, then select Generate Invoice.
Creating or approving a payment entry does not automatically generate or fund an invoice.
Review the generated invoice
Go to Payments > Invoices, open the applicable invoice, and confirm:
- The company and contractor details.
- The invoice number and payment reference.
- The applicable payment period.
- The contractor amount and currency.
- Any approved timesheets, milestones, expenses, or additional payments.
- Any applicable service or payment-provider charges.
- The total amount due.
Fund the invoice
Use the beneficiary and bank details displayed on the current invoice or in the platform.
When making the transfer:
- Use the current beneficiary details.
- Transfer the exact total shown on the invoice.
- Include the exact Payment request ID provided in the funding instructions.
- Retain your proof of payment in case it is required.
Missing or incorrect information may delay the reconciliation of your payment and the contractor’s payout.
Do not reuse beneficiary details from an earlier invoice without confirming that they are still current.
Request a correction
If the contractor, payment period, amount, currency, or supporting work item appears incorrect, do not fund the invoice until it has been reviewed when practical.
Contact Contractor Success at contractorcare@remofirst.com and provide:
- Your company name and ID, if available.
- The contractor’s name and profile link.
- The invoice number.
- The amount and currency.
- A description of the expected correction.
- Supporting documentation, when applicable.
Do not create a duplicate payment or invoice as a workaround.
Invoice cancellation limitations
Whether an invoice can be cancelled depends on its current status and whether funding or processing has already started.
If you need to cancel or correct an invoice, contact Contractor Success before creating a replacement. Our team will coordinate with Finance or Product when internal action is required.
Technical issues
If an invoice remains in Generating, displays a Failed status, or cannot be opened, contact Contractor Success and provide:
- The company ID.
- The invoice number.
- The contractor’s name.
- The date and approximate time of the issue.
- A description of the action you attempted.
- Screenshots of the error or unexpected behaviour.
A technical investigation may be required, and our team will keep you informed of the outcome.
